The Danish Embassy in Madrid is looking for a Financial Manager

The Danish Embassy in Madrid is seeking a highly organized, proactive, and reliable Financial Manager. The selected candidate will be responsible for the Embassy’s financial management, payroll administration, budgeting, accounting operations, and coordination with internal and external stakeholders. This position requires strong analytical skills, attention to detail, integrity, strict compliance with public rules and regulations, and the ability to work independently while supporting multiple Embassy functions.

Main Duties and Responsibilities

Financial Management & Accounting

  • Perform accounting tasks, bank account administration, and payment supervision. 
  • Act as the primary liaison with the Global Financial Team of the Danish Ministry of Foreign Affaris (MFA).
  • Manage Embassy budgeting processes, controlling and financial reporting.
  • Handle VAT reimbursement procedures for the Embassy and diplomatic staff.
  • Administer purchases, subscriptions, supplies, and vendor contracts. 
  • Prepare commercial and non-commercial invoices through the CRM billing module.

Systems & Technical Responsibilities

  • Access and operate Navision and other financial systems.
  • Serve as Super User for internal travel and HR systems.
  • Maintain and update multiple MFA databases
  • Supervise IT operations and manage IT inventory (annual + biannual checks during Ambassador transitions, ongoing updates, and disposal of outdated equipment). 

Human Resources & Payroll 

  • Manage payroll, social security contributions, and income tax (IRPF) processes.
  • Register employment contracts with Social Security and SEPE.
  • Act as employee system administrator.
  • Assist diplomatic staff with rental contracts, utilities, vehicles, and various services.

Procurement, Inventory & Facility Management

  • Oversee Embassy and Residence inventories (annual + biannual checks during Ambassador transitions, continuous updates, and disposal of old items).
  • Manage procurement of equipment and maintain accurate asset inventories.
  • Obtain quotes and monitor service contracts with companies (telephony, air conditioning, electricity, etc.).
  • Serve as the main contact for providers of telephone, electricity, and gas services.
  • Manage maintenance of the Official Danish Residence in Madrid.

Administrative & Diplomatic Support

  • Prepare Verbal Notes to the Spanish Minister of Foreign Affairs related to diplomatic vehicles. 
  • Serve as the Embassy’s contact for fire alarm system and occupational risk prevention.

Qualifications & Requirements

  • Degree in Finance, Accounting, Business Administration, or a related field (preferred).
  • Proven experience in accounting, controlling, financial operations, strict compliance with public rules and regulations, and administrative management. 
  • Strong proficiency in IT systems and financial software; experience with Navision or similar platforms is an asset.
  • Excellent English proficiency and sound knowledge of Spanish; knowledge of a Scandinavian language is an advantage. 
  • High level of integrity, discretion, flexibility, responsibility, and ability to work independently.
  • Strong organizational, analytical, and communication skills.

Employment conditions

  • Labour contract according to Spanish legislation and the Embassy’s staff rules. 
  • Salary will reflect qualifications, relevant experience and proven work-related results. 
  • Standard working hours will be 37 hours per week with 3-month probationary period. Overtime must be expected, but will be compensated. 
  • 23 days of paid holiday per full year of work (1.91 days earned per month). You will also get leave days according to Danish / Spanish national holidays.
